Ring Groups

Let several people answer one business number and choose what happens when no one picks up.

In the CRM: Voice Features → Phone System → Applications → Ring Groups

Make a shared number easy to answer

A ring group sends a call to a set of destinations using the ringing strategy you choose. It is useful for a sales desk, service team or small appointment-booking team that shares incoming enquiries.

Each team member can keep their own extension while customers call one public business number. Telnyx supplies that number and carries the call; the ring group handles the team’s ringing arrangement.

Create the group

  1. Open Voice Features → Phone System → Applications → Ring Groups and choose Add.
  2. Enter a Name, such as “Sales enquiries”, and an unused internal Extension for the group.
  3. Choose a Greeting if callers should hear a prepared welcome before the phones ring.
  4. Select the Strategy. Simultaneous rings the listed destinations together; Sequence provides an ordered calling arrangement.
  5. Add the destinations that should receive calls, then complete the exit and timeout settings.
  6. Keep the group Enabled, add a Description and choose Save.

Set the destinations and timing

Add the actual staff or delivery destinations here and review the group’s exit behavior. Select the image to enlarge it.

ControlWhat it means
DestinationThe extension or phone destination to ring.
Delay or OrderWhen a destination starts ringing, or its position in the selected strategy.
TimeoutHow long that destination is given to answer, in seconds.
PromptThe offered confirmation behavior for the person receiving the call.
EnabledWhether that destination participates in the group.
DescriptionA helpful note identifying the person or role.

Give unanswered calls a next step

Exit Action is the destination used when the group finishes without connecting the caller. Choose a suitable voicemail, menu or other configured destination. Call Timeout sets the group’s total call timeout in seconds.

Exit Key lets callers use a chosen key to take the exit action. Ring Back controls what callers hear while waiting. Review the greeting, ringing time and exit destination together.

The form also offers missed-call email and group-forwarding controls. Use them when they fit how the team handles enquiries.

Put the group behind a number or menu

  1. Open Destinations from the Phone System dashboard’s Quick menu.
  2. Open the incoming business number and choose the saved ring group in Actions, then save the intended route.
  3. Alternatively, choose the group as an IVR menu option or a Time Condition destination.
  4. Call the public number and confirm the intended phones ring. Check the answer behavior and the exit route when the group is unanswered.

Use it to improve campaign response

A business advertising estimates can send calls to a sales group so the next available team member can answer. Use a consistent greeting and SMS template for follow-up, then record or book the next appointment.

For a business selling calls, use the configured Sell Leads & Calls campaign and buyer routing to manage the sale. Ring groups help organize the people answering a destination; the campaign holds the buyer and delivery rules.
