Voicemail

Give missed callers a clear way to leave an enquiry and help the team follow up promptly.

In the CRM: Voice Features → Phone System → Applications → Voicemail

Keep the enquiry when a call is missed

A voicemail box gives callers a place to leave a message when the person or destination they reached is unavailable. Choose a recognizable greeting and decide how the responsible team member receives the message.

For a marketing number, the greeting can ask for the caller’s name, callback number and service of interest. That gives the team a useful starting point for a consultation or appointment.

Create or update a mailbox

  1. Open Voice Features → Phone System → Applications → Voicemail.
  2. Open the mailbox you want to update, or choose Add for a new one.
  3. Enter the Voicemail ID and a numeric Password for mailbox access. Use the ID intended for the extension or call destination.
  4. Choose the Greeting. Play Tutorial controls whether the tutorial plays at the next voicemail login.
  5. Set the email and message-handling options, keep Enabled on and add a helpful Description.
  6. Choose Save, then check that the intended extension or call route sends missed calls to this mailbox.

Send messages to the person who follows up

Mail To is optional. Enter the responsible person’s email address, or separate several addresses with commas when the team shares the follow-up.

Voicemail File controls how the email includes the message: a listen link requiring login, a download link, or an audio file attachment. Choose the option that fits the team’s process.

Keep Local After Email determines whether the voicemail remains in the phone system after the email notification is sent.

Make the greeting useful

Choose the greeting callers should hear. The mailbox also offers Options for a key pressed during the greeting, so a caller can be sent to an offered destination when that choice is part of your setup.

Forward Destinations lets you send voicemail messages to additional mailboxes. Use it when a second person needs to help handle the enquiry.

A simple greeting might say: “Thank you for calling about an estimate. Please leave your name, callback number and a short description of the work, and our team will follow up.”

Review and act on messages

  1. Return to Voicemail and open Messages for the mailbox.
  2. Review the caller, received time and message length. Use the playback tool to listen.
  3. Use the offered download or message-management controls when needed, and check selected messages before confirming a bulk action.
  4. Call or text the customer through the connected business number, record the next step and book the appointment when agreed.

Build a consistent follow-up routine

For an estimate campaign, staff can call back with the customer’s service details already in hand. Use a prepared SMS template for an agreed callback or appointment confirmation, then personalize it for the enquiry.

Voicemail can be one destination in the call journey alongside staff, buyers and configured AI agents. Use Time Conditions and the unanswered-call destination to keep the journey consistent with business hours.
