Getting Started
Connect your carrier, buy numbers, set up your team and turn enquiries into calls, conversations and booked appointments with Mango9 Marketing OS.
1. Set up your account and activate a plan
Sign in as the business owner. Start by checking your company details, choosing a paid plan and making sure your account is ready for everyday use.
- Open Settings → My Profile. Check your name, business email and company details. Choose your local time zone, such as Los Angeles, then save.
- Open Plans & billing. Some existing accounts show Package instead. Review the plan and team size that fit your business.
- Choose Review beside the plan you want and complete the secure payment confirmation. Simply opening the plan page does not activate a paid plan.
- Return to Plans & billing. Confirm that Current plan shows your paid plan and that it is active. If it still says trial, payment required or awaiting confirmation, finish that step before launching your business activity.
- Check Account balance for usage credit. Your subscription and your available spending balance are different: adding credit alone does not mean you have activated a paid plan.
If your account already has Custom access, its plan is managed for you. Check with your Mango9 account contact before buying another plan.
2. Connect Telnyx for calls and text messages
Telnyx is your carrier: it supplies the phone numbers, calling and text-message service your business uses. You connect your own Telnyx account to Mango9 with an API key, a private connection key that lets the two services work together.
Mango9 brings the business tools around that service: your team, lead buyers, call routing, SMS conversations, campaigns and AI agents. Telnyx carries the calls and texts while Mango9 helps you turn those conversations into customers, appointments and lead sales.
- Create a Telnyx account, or sign in to the Telnyx account owned by your business. Confirm your email, add a payment method and complete the verification Telnyx requests. Make sure the account is ready for paid use, rather than leaving it on trial.
- In the Telnyx portal, open your account menu → Account Settings → API Keys. Choose Create API Key and copy the API v2 key somewhere secure.
- In Mango9, open Settings → Connections. Choose + New connection → Telnyx, or Manage on an existing Telnyx connection.
- Paste the key into Telnyx API Key (v2), then select Validate & Save. Wait for the success message.
- Select Provision. Mango9 creates the Telnyx calling and messaging settings it needs. Wait for the Provisioned status.
- In the PBX Provisioning section below, select Provision PBX, then Verify PBX. This connects Mango9’s calling system to your Telnyx service. Read the result before continuing.
If Telnyx is not offered for your account, ask your Mango9 account contact whether your phone service is managed for you. Avoid adding a second provider connection to an already working account.
3. Choose the number customers will use
Buy a business number through your connected Telnyx service, or bring an existing number. You can use numbers for your main business line, marketing campaigns or an AI agent. A dedicated campaign number also helps you see which advertising brings in calls.
- Open My Numbers → Manage. Choose Buy new number if you need one, or My Numbers → Port & Host to bring an existing number.
- Review the number and any purchase or transfer charges before confirming. Keep the new number ready to assign to an extension, campaign or AI agent in the following steps.
- Open My Numbers → SMS Compliance and complete the registration needed for your number before sending business text messages.
- Confirm that the number appears in your account. After you set up its destination, test a call and text to a number you control and check that replies reach the correct inbox.
4. Create your phone extensions
Your business number is the number customers call. An extension, such as 101, is the internal phone line used by a person in your team. Set up your first line after buying your number, so it has the right caller ID and incoming-call destination.
Give users and buyers who answer calls in Mango9 their own extension. This makes it clear who should receive a call and which business number appears when they call out. For a call buyer using an outside phone system, choose their agreed delivery number in the campaign instead.
- Open Settings → My Profile → Extension. If your account already has an extension, check its assignment here instead of creating another one.
- In Add Extension, enter a unique internal number, such as 101. Enter the person or business name in CallerID Name.
- Choose the business number you just bought in Caller ID Number. If it is missing, return to My Numbers and check that the number is available to your account.
- Turn on Use as Incoming Number when calls to that business number should ring this extension.
- Select Create Extension and confirm the request. Wait for the new extension to appear.
- Sign in to the Mango9 Windows or iPhone app with your Mango9 account. Check that calls are registered, then test an outgoing and incoming call.
- When you add agents in the next step, give each person their own extension through the agent setup or their user profile. Use a different internal number for each line.
5. Add your team and any lead buyers
Agents are the people who work for your business: they follow up with customers, make calls and handle messages. Buyers are customers who purchase leads, calls or appointments from you. Add buyers only if your business sells those services.
If you generate enquiries for other businesses, use Sell Leads & Calls to organize the offer, buyers and delivery. You can sell lead details, calls or appointments; your connected Telnyx service handles the phone and SMS side of that process.
Pro includes unlimited agents and 5 buyers. Max includes unlimited agents and unlimited buyers, giving you room to grow your team and your lead-selling business.
- Open Manage Users → Active Users. Under User actions, choose Add agent for a teammate, or use Invite Users to send them a setup invitation.
- Enter the person’s own name and email. Complete their location and extension settings, using a unique extension for each person.
- For invitations, choose Invite Agent, enter the email and send the invitation. The person follows the link to finish their own setup.
- If you sell leads, choose Add buyer or Invite Buyer when offered. Set up the buyer’s campaign access and delivery preferences under Sell Leads & Calls before sending them leads.
- Ask each teammate to sign in and check their assigned work. Give management access only to people who need to manage the team.
| Plan | Agents | Lead buyers |
|---|---|---|
| Pro | Unlimited | 5 buyers |
| Max | Unlimited | Unlimited |
6. Connect your business email
SMTP is the connection Mango9 uses to send email through your email provider. You can use your business mailbox so customers recognize who the message is from. Ask your email provider for its SMTP server, port, security setting, username and password or app password.
- Open Settings → Connections → + New connection → SMTP, or Manage on an existing SMTP connection. Select Add New Configuration.
- Give it a name you will recognize, such as Business email. Enter your business name in From Name; customers see this name in their inbox.
- Enter the SMTP Server, Port and Security exactly as supplied by your email provider. Enter your mailbox address in Username / Email and the required password or app password.
- Keep Active selected. Select Set as Default if this is the main connection Mango9 should use for your emails. Leave Use System SMTP off when you want to send through your own provider.
- Select Test Connection. This sends a test email to the mailbox you entered. Check that inbox and its spam folder.
- After the test succeeds, select Save Configuration. When preparing an email campaign, check that it uses the connection you intend.
Use the server and mailbox details supplied by your email provider. Enter an app password if your provider requires one.
7. Put Supervisor to work for you
Supervisor is your AI teammate inside Command Center. Tell it what you want to achieve and bring account setup, lead follow-up, messages, tasks and scheduling into one conversation.
Try: “Help me set up follow-up for new leads and prepare a welcome email for my business.” Supervisor can check your account, open the relevant screens and prepare the next actions. Review the details and confirm the work from the same workspace.
- Open Command Center at the top of the CRM menu. Use the chat for a quick request, or the expand arrow for the full workspace.
- Describe your business goal, the people or campaign involved and the result you want. For setup, tell it which number, sender and team member should be used.
- Review its reply and any prepared actions. Check names, numbers, message text and dates, then confirm the changes you want.
- Follow Agent activity for results. Use Chats to return to the conversation and continue the work.
8. Add AI agents to your numbers
With Telnyx connected and your numbers ready, you can put AI agents to work answering enquiries, qualifying leads and helping customers book appointments. Choose a purchased number for incoming calls, or use it as the caller ID for an outbound agent.
Give the agent your business information, the questions it should ask and the result you want. Enable its appointment actions so it can check availability and book, reschedule or cancel an appointment during the conversation. Choose a human extension for callers who need a teammate.
Enable the agent’s SMS channel and messaging settings when you want it to handle text conversations too. Use SMS templates for repeatable introductions, follow-ups and appointment messages. Templates keep your wording consistent; the AI agent handles the back-and-forth conversation you configure.
- Open AI Agents and select Create AI Agent. Choose the inbound voice, outbound voice and Text settings for the job, such as answering enquiries or following up on leads.
- Choose voice, SMS or both, then set its instructions, greeting and actions. For booking, check your calendar, availability and local time zone first.
- Choose the purchased business number and the destination for human handoff. Enable the call and SMS routing you intend to use.
- Prepare your reusable messages in Messaging → Templates. Choose the appropriate template when setting up a campaign or follow-up message.
- Test with your own phone: ask a question, request an appointment, reply by text and try a handoff to your team. Check the conversation and appointment in Mango9 before launching your campaign.
Turn your setup into marketing results
Start with the customer journey you want to improve. These examples show how your carrier, numbers, people and AI agents can work together. Configure the campaign and follow-up steps for your business, then run one complete test before inviting customers in.
| Business scenario | How to use Mango9 | Why it helps |
|---|---|---|
| A local service business wants more bookings | Put a campaign number in your advertising. Let an AI agent answer, ask about the service needed and offer available appointments. Add an SMS confirmation or follow-up to your booking process. | Turn an advertising enquiry into a scheduled visit while the customer is interested. |
| A lead agency sells enquiries to buyers | Capture and organize leads, qualify them and set buyer access and delivery under Sell Leads & Calls. Use Telnyx-backed calls and texts to contact the lead; deliver the agreed lead, call or appointment to the buyer. | Run lead generation and delivery in one place, with a clear handoff to the business buying the opportunity. |
| A business sells qualified calls | Use a number for the campaign, set the buyer’s agreed call destination and assign an extension if the buyer answers in Mango9. Review the call records and campaign results. | Connect callers to the right buyer and see the calls produced by the campaign. |
| A sales team needs faster follow-up | Assign each teammate an extension and their leads. Use a reusable SMS introduction, continue the conversation in the inbox and create a task or appointment for the next step. | Keep the conversation moving and make ownership clear, so an enquiry does not get lost between people. |
| A business wants past customers to return | Create a group of customers who want your messages, prepare a relevant SMS or email template and set up a follow-up campaign. Use replies to answer questions and offer an appointment. | Bring repeat business back with consistent, personal follow-up instead of writing every message from scratch. |
