Active Users

Find enabled team accounts, add the right kind of user, and review their settings.

In the CRM: Manage Users → Active Users

Find an account

Open Manage Users → Active Users. Enter a name, login ID or email in Advanced Search, then select Go. Administrators can have extra category and organization filters.

A focused view of the current Active Users search controls. Select the image to enlarge it.
  1. Check the spelling and clear old search terms if the person is missing.
  2. Use the page controls to move through results. Show All removes the usual page-size limit within the current view; it does not expand your permissions.
  3. Check the person’s name and login details before opening a row action.
  4. If an account was disabled, look in Inactive Users. If the person has not completed an invitation, look in Invite Users.

Read the user list

The columns vary by role. A company owner can see the user’s name, account age, numbers, package, extension, call-forwarding control, profile and available actions. Administrative views can include additional company, team, billing or server fields.

Active refers to the account’s enabled state. For browser sessions, open Online User. For phone registration, check the user’s Voice & extension information. For chat availability, use the chat’s own presence indicator.

Add an agent manually

You can instead use Invitations → Invite agent to let the recipient complete their own setup. Opening the manual wizard does not by itself create a user.

Current creation menu for an eligible client account. Available roles depend on your account. Select the image to enlarge it.
  1. Open User actions and choose Add agent. Choose Add super-agent only when the person needs the available management privileges. Add buyer is for eligible lead or appointment buyers.
  2. Complete Basic Info, including the person’s name, email and the required sign-in fields. Use the password generator if that option is shown.
  3. Continue to Location and fill the required address details.
  4. For an agent, review Extension Settings, including the extension and caller-ID choices offered by the account. Other account types can have package and payment steps instead.
  5. Review any seat limit, package or charge shown. Submit only after the details are correct, then wait for the result.
  6. Return to the list and find the new account. If the response was interrupted, check the list before creating another account.

Use a row’s Action menu

Use an individual row for a single person. The top Disable → All control is a bulk operation; do not assume it applies only to a checked row or a visible search result.

Disabling is different from deleting. Read the returned result and check the account state afterward, especially if a subscription or phone-system step reports an error. Deletion may be queued, so a submitted request is not proof that every cleanup step has finished.

Reset PasswordChange that user’s password through the reset dialog.
APIsReview the API settings allowed for that user.
Make Superagent / Demote to UserChange the person’s management role within the company.

DeleteOpen the deletion review, including any affected accounts, extensions or reassignment choices.

Check the result

  1. Reopen the relevant account and confirm the intended details or role.
  2. After changing an extension or call-forwarding setting, verify the intended phone behavior with that user.
  3. After disabling a user, check Inactive Users. After creating or enabling one, check Active Users.
  4. If the page reports an error, keep the exact message and account name for support rather than repeatedly submitting the same change.
