Call Tracking Report

Find which number brought an enquiry and see where the call went.

In the CRM: Stats & Reports → Call Tracking Report

Connect calls to their marketing source

Call Tracking Report follows a call from the original number to its destination. Use it to review a website number, an advertising campaign or calls forwarded to a staff member or buyer.

Give each business number a clear source label in My Numbers. The report uses that number’s current label, so keep labels meaningful when you compare past activity.

See the number a customer called and where the call reached. Names and numbers in this example are fictional. Select the image to enlarge it.

Apply the right filters

The default view covers 30 days. You can select up to 93 days for a report; an export includes up to 5,000 calls. Use a shorter period or a more specific filter for a larger list. Account owners can review the account’s calls; a team member’s view follows their assigned extension.

  1. Choose From and Through dates. Check the city-based time zone displayed beside the report, such as America/Los_Angeles.
  2. Choose a direction, number called, tracking source, extension or person, and outcome as needed. Search can help find a particular caller or destination.
  3. Select Apply filters. Changing a field prepares a new selection; the results update when you apply it.
  4. Read the summary and source totals, then inspect the call rows. Use the page controls for additional results.
  5. Select Export CSV to download the applied results. Use Reset to return to the default recent view.

Read a call correctly

Forwarded incoming calls can also be included in the inbound view. Treat forwarded calls as a useful subset rather than adding the two totals together. Answered means a connection was recorded; check the contact or buyer record for the sales result.

If you change filters, apply them before exporting or paging. The CSV follows the applied filters and the time zone shown on the report.

Read a call correctly
FieldWhat it tells you
Number calledThe original destination dialed by the caller.
Reached / forwarded toThe final destination reached by the route, such as an extension or forwarding number.
Tracking sourceThe current source label attached to the number. Renaming the label also changes how older calls are described.
Extension / personThe extension or person associated with the call.
OutcomeThe phone system’s recorded result, such as answered, not answered, failed or voicemail.
Connected / total timeTime connected compared with the overall call duration.

Example: compare two advertising sources

Buy suitable business numbers through your Telnyx carrier connection and label them Website enquiries and Spring ads. Route each to the team, buyer or AI agent that should receive it. Filter Call Tracking Report by each number to compare calls and outcomes.

Review missed calls for follow-up, then compare the related lead and appointment records. This gives you a practical view of the journey from the advert to the conversation and the next sales step.
