Marketing Workflow Examples
Connect advertisements, enquiries, staff follow-up and AI conversations into useful business processes.
In the CRM: Workflows → Create Workflow or AI Builder
Start with one customer journey
Choose the result you want: respond quickly, qualify an enquiry, book a consultation or deliver an opportunity to a buyer. Then connect the steps that move the customer toward that result.
Telnyx is your carrier. Buy the numbers you want to advertise and assign extensions to the staff and buyers who need calling access. Configure your AI agents with those numbers, business knowledge, appointment tools and SMS handling. Mango9 then brings conversations, templates, campaigns and follow-up together.
A local service business: turn interest into an estimate
Keep the offer consistent across the advertisement, AI instructions and SMS wording. A customer who asked for an estimate should receive a clear next step about that estimate.
- Capture an enquiry from your connected Facebook form or lead source. Choose its matching workflow trigger.
- Use a condition for your service area, such as State equals California.
- Assign the enquiry to the right staff member and create a task to discuss the estimate.
- Add a short SMS acknowledgement from your business number, using the customer’s first name.
- Have the staff member call through their extension or use a configured AI agent to qualify the request and arrange an appointment.
An appointment business: prepare the team after an AI call
Configure the AI agent with the service details and booking actions it needs. Use AI Call Ended for follow-up based on the recorded outcome. An appointment outcome can lead to a team notification; another outcome can create a staff task for a personal call.
Use a reusable SMS template for staff confirmations and add the relevant wording to automated message steps. Review the appointment in the calendar and the customer’s text conversation so the handoff feels continuous.
A lead seller: keep delivery and follow-up organized
Use Sell Leads & Calls to define the campaign, buyers, qualification questions, prices and delivery rules. Set each buyer’s capacity so your marketing matches the team available to handle enquiries.
Use campaign events such as Lead Routed to Campaign or Lead Sold for internal notes and notifications. Review Distribution Log, Lead Report and Appointments Report to follow delivery and sales. For calls, configure the call campaign and destination using your Telnyx carrier numbers and the intended staff or buyer extension.
A useful daily routine is to review where enquiries came from, which buyers have capacity, whether staff followed up and which offers led to booked conversations. Use those findings to adjust the offer, qualification questions and follow-up wording.
An imported list: give every contact an owner
Use Lead Imported, add a campaign-source note, then assign staff and create follow-up tasks with a named local time zone. For example, set a task for the next business day at 9 AM in Los Angeles.
If you want a scheduled sequence of text messages, use Drip Campaigns. If you want a personal continuing AI text conversation, use the AI agent’s configured SMS handling. Use the same business facts and approved wording across both.
