Event Statuses

Give appointments clear outcomes so everyone knows what happened and what should happen next.

In the CRM: Calendar → Event Statuses

Give the team a shared language

Statuses make a busy schedule easier to understand. A clear label such as Confirmed, Completed or Ready for follow-up tells the next person what to do. The color helps your team recognize the outcome quickly on the calendar.

In the CRM, Event Statuses opens the page headed Appointment Statuses.

Agree on a few clear outcomes so the whole team uses the same language. Example statuses shown. Select the image to enlarge it.
  • Keep the list short enough for people to choose the right outcome consistently.
  • Use names that describe what happened, rather than a person’s initials or an unexplained code.
  • Agree when each status should be used, especially if it affects a campaign’s follow-up or reporting.

Add or edit a status

Give a new status a short, useful name and a recognizable color. This example has not been saved. Select the image to enlarge it.
  1. Open Calendar → Event Statuses.
  2. Choose Add Status, enter a short name and select a color.
  3. Save and confirm the status appears in the list.
  4. To rename or recolor an existing status, choose Edit on that row, make the change and save.
  5. Open an appointment and choose the appropriate status. Check the result on your calendar.

Status names must be distinct. If the name already exists, use that status or choose a different name.

Maintain outcomes without losing their meaning

Some statuses are linked to campaign billing or disputes. They show as locked because the campaign depends on their meaning. Manage those rules in the campaign that uses them.

  • Rename an ordinary status only when the new wording still makes sense for the appointments already using it.
  • Use Delete for a status you no longer need, then confirm the request. A status used by an appointment or shared calendar cannot be removed.
  • After changing your status process, check the reports and follow-up rules that use those outcomes.
  • If a status is meant to trigger follow-up or billing, check the corresponding campaign or workflow result as well as the calendar label.
