Appointments

Create a customer appointment, assign the owner, and keep its time and status up to date.

In the CRM: Tasks & Events → Appointments

Find an appointment

Open Tasks & Events → Appointments. Search by title, description or contact. Status filters use your account’s event statuses; Ownership lets you choose All accessible, Owned by me or Other owners.

Create an appointment

The form uses the device/browser time zone when saving a new appointment. Check that time zone before entering the dates. You can see the stored zone in the saved details.

If your account offers appointment campaigns, review the selected campaign, qualifying questions and any sharing or billing confirmation carefully before continuing. Campaign actions can do more than create a personal appointment.

  1. Select Create appointment and leave Appointment selected as the activity type.
  2. Enter a clear title and a description of what should happen.
  3. Set the start and end date and time. Use a duration shortcut if it fits, then choose Low, Medium or High priority.
  4. Choose the status that describes the current situation. Status names come from your account’s Event Statuses settings.
  5. Choose a responsible person if that selector is available. Use Share this activity with to include other people without changing the owner.
  6. Link a contact by typing at least three characters and selecting the matching contact. Check the selected person before saving.
  7. Open Repeat and reminders if needed. Choose the repeat pattern, reminder timing and available notification method. Contact email reminders are a separate choice.
  8. Select Create. Wait for the confirmation and check the saved activity’s details. Close or Escape leaves an unsaved form without creating the activity.

Review, reschedule or complete it

List and Board show the same filtered page. Board groups appointments by their status; use the details form to change a status.

Sharing the appointment and sharing the contact are separate choices. Enable Also share this lead (contact) only when those people should also receive access to the linked contact.

  1. Select the appointment title or Details. Review its owner, contact, start, end, time zone, priority and sharing.
  2. Select Edit to adjust the schedule or other details. Choose the matching status, such as Rescheduled or Completed, if your account uses that status.
  3. Select Save and reopen the details to check the result.
  4. Use Open scheduler to see the appointment on the calendar.

Reminders and recurring appointments

Open Repeat and reminders in the form to choose a repeating pattern and reminder timing. Weekly and Custom patterns expose day choices. Review both the schedule and reminder recipients before saving.

Your own reminder method and contact email reminders are separate controls. Linking a contact does not by itself mean an email or text will be sent.

If you cannot find an appointment

  • Clear the text, status and ownership filters.
  • Check Events or Tasks if someone changed the activity type.
  • Confirm that the owner shared the appointment with you.
  • If a saved appointment is unavailable, return to the list and ask the owner to check access instead of creating a duplicate.
