Tasks
Give work a clear owner, keep the instructions together, and record the result.
In the CRM: Tasks & Events → Tasks
Find and prioritize tasks
Open Tasks & Events → Tasks. The list shows the title, assignee, scheduled time, status and priority. Select a title or View to open a task.
| View or control | What it shows |
|---|---|
| All tasks | The tasks you can access. |
| Owned by me | Tasks whose responsible person is you. |
| Team | Accessible tasks owned by other people. |
| AI agents | Tasks assigned to AI calling, when your account has task access. |
| Recurring | Tasks with a repeating schedule. |
| Search tasks and All event statuses | Narrow the current view by text or the account’s event-status labels. |
| List / Board | Switch between rows and status columns. Board contains the current page of results. |
Create a task or follow-up
Describe the expected outcome, needed information and next step in Description. A responsible person owns the work; sharing gives other people access to the activity.
Some accounts open a dedicated task form with different execution controls. Use the fields and confirmation on that form. Creating an ordinary task does not place a phone call.
- Select + Create task.
- Choose Task or Follow Up as the activity type. Give it a specific title, such as Prepare the customer’s estimate.
- Set the start and end date and time. Use a duration shortcut if it fits, then choose Low, Medium or High priority.
- Choose the status that describes the current situation. Status names come from your account’s Event Statuses settings.
- Choose a responsible person if that selector is available. Use Share this activity with to include other people without changing the owner.
- Link a contact by typing at least three characters and selecting the matching contact. Check the selected person before saving.
- Open Repeat and reminders if needed. Choose the repeat pattern, reminder timing and available notification method. Contact email reminders are a separate choice.
- Select Create. Wait for the confirmation and check the saved activity’s details. Close or Escape leaves an unsaved form without creating the activity.
Work from the task details
Activity & notes keeps recorded updates together. Longer histories have Show earlier updates. Notes and edit controls depend on your access to the task.
- Read Instructions and confirm the linked contact and responsible person.
- Use Edit task to change the details, or a nearby Edit / Change link to go directly to that section.
- Use Update status to choose the appropriate account status and save it. A note by itself does not complete the task.
- When Post note is available, write the outcome or handoff information and select it. Wait for Note saved and check the activity history.
- Use Back to tasks to return to the list.
Repeat, reminders and AI execution
Schedule & reminders shows the saved start, end, duration, priority and time zone. Expand Repeat & reminders to check the pattern and notification settings.
When AI execution is available, review the selected AI agent, contact, calling number and schedule before saving. The AI execution panel reports whether the work is scheduled, calling, completed or needs attention. Use its available history and controls to investigate an unsuccessful call.
An event status and AI task progress describe different things. For example, a customer appointment can be Confirmed while an AI follow-up is still Scheduled.
When a task is missing or will not save
| Problem | What to do |
|---|---|
| Missing from the current view | Clear search and status filters; check All tasks and the other activity types. Ask the owner about sharing if it is still absent. |
| Wrong time | Check the saved time zone and device time zone, then edit the schedule. |
| Unable to load activities | Try the page again. If access has changed, ask the account owner to review your permissions. |
| A note or edit shows an error | Keep your text, read the error and confirm the original save before trying again. |
| AI execution unavailable | Open the available execution controls and check agent readiness and the task’s calling setup. Do not create duplicate tasks to retry an uncertain result. |
