Templates

Start a quote or invoice from a reusable outline, then tailor it to the customer.

In the CRM: Quotes & Invoices → Templates

Find and use a template

The new quote and invoice forms also have a template selector. Selecting one applies its content immediately, so start with the template before writing your own document details.

The current list filtered to system templates. The examples shown are built-in templates. Select the image to enlarge it.
  1. Open Quotes & Invoices → Templates. Search by name or description, or choose a category and type.
  2. Read the template’s description, number of items and active status. System templates are read-only; My Templates are your saved templates.
  3. Select Use to open a new quote with that template.
  4. Review the filled items, terms, notes and project fields before adding customer details and saving.

Create your own template

The current template editor with an unsaved example. The structured item fields require JSON. Select the image to enlarge it.
  1. Select New Template. Enter a name, category and description that help your team choose it.
  2. Enter Default notes and Default terms & conditions. These can appear on customer documents.
  3. Enter reusable Line items and optional Custom header fields in the structured format shown below.
  4. Choose an accent color. Keep Active selected when this template should be offered for new documents.
  5. Enable Available to my agents only if those agents should be able to use it.
  6. Select Save Template and check that the saved template appears in the list.

A simple line-item example

Line items uses JSON: a list of items inside square brackets. This example adds one consultation at $125. Replace the example values with your own before saving. Keep text in double quotes and numeric values as numbers.

[
  {
    "name": "Consultation",
    "description": "Planning session",
    "quantity": 1,
    "unit_price": 125,
    "tax_pct": 0
  }
]

Leave Custom header fields as [] if you do not need extra project fields. For an extra text field, the next example shows the format.

An optional project field

A custom header field becomes a field on documents created from the template. Use a stable field_key with a readable label. A required field must be completed before the document can be saved.

[
  {
    "field_key": "project_reference",
    "label": "Project reference",
    "field_type": "text",
    "required": false
  }
]

Edit and share templates

Use the pencil on your own template to edit it, then Save Template. The delete control asks for confirmation. System templates have no edit or delete control.

A regular agent sees the templates made available to them in a read-only list. The account owner controls which templates are active and shared, and whether agents can create quotes.

A template is a starting point, not an approved customer price. Always review the populated document. Existing saved documents keep their own content.
