New Invoice

Create a customer invoice directly, with a due date, line items and payment instructions.

In the CRM: Quotes & Invoices → New Invoice

Start with the right document

Open Quotes & Invoices → New Invoice when no quote needs converting. If you already have a quote for this work, open it and use Convert to Invoice or View Invoice to keep the documents linked.

The actual new-invoice form with an unsaved example customer. Select the image to enlarge it.
  1. Choose an optional template before entering your own content. It applies immediately.
  2. Set Issue date, Due date and Currency. Confirm the due date matches the arrangement with your customer.
  3. Search and select an existing lead/client, or enter a standalone customer name. Review email, phone and address.

Add the items and payment information

A payment link sends the customer to that payment service. Adding a link to an invoice does not create a new payment-provider account or prove that a payment was received.

Current invoice line-item controls with a fictional $250 service example. Select the image to enlarge it.
  1. Use From Catalog or Add Row to add each product or service.
  2. Review quantity, unit price, discount and tax for every line. Use sections and drag handles to organize them.
  3. Complete any required fields and review the customer-visible notes, terms and signature choice.
  4. Check Payment Instructions and the Pay Online link if you use one. The invoice can override the account’s default link.
  5. Review the total and all customer details before saving.

Save and deliver the invoice

  1. Select Save Draft if the invoice still needs review.
  2. Use Save & Mark Sent only if that status is appropriate. This saves the document; it does not send an email.
  3. Open the saved invoice and verify its assigned number, customer, total and balance.
  4. Use Email to Customer and confirm the recipient, or share its Copy Link / PDF yourself.
  5. After money is received, use Record Payment on the invoice and check the balance.

If the save is interrupted

Check My Invoices for the saved record before creating another invoice. Keep any error text. A customer name and valid line items are required; the page can also require custom fields.

When editing an existing invoice, reopen the latest version if another session changed it. Review recorded payments before changing the total.
