Settings
Set the business information, numbering and defaults used by customer quotes and invoices.
In the CRM: Quotes & Invoices → Settings
Set the general defaults
Open Quotes & Invoices → Settings, then General. These settings belong to the account’s customer-document tools. They do not change your Mango9 subscription billing details.
- Enter the business information that customers should see. Use a working image URL for the logo.
- Review numbering and defaults before the team starts creating documents. Avoid moving a counter backward into numbers already used.
- Check the invoice payment instructions and link. Use the intended business payment destination.
- Select Save Settings and reopen the page to confirm the values.
| Group | What to review |
|---|---|
| Business Info | Business name, email, phone, address and logo URL used on documents. |
| Quote Defaults | Quote number prefix, next number, currency, tax rate, accent color, customer signature line, notes and terms. |
| Agent quotes | Whether regular agents can create their own quotes using the account’s shared configuration. |
| Invoice Defaults | Invoice prefix, next invoice number, default days until due, payment instructions, payment link and its button label. |
Understand which settings apply
Quotes and invoices use separate prefixes and number counters. A number is assigned when the document is saved, not merely when you open a new form.
Defaults provide starting values for new documents. Existing saved documents keep their own dates, items and amounts; review any document you need to change.
Some displayed business information comes from shared settings. If you change branding or contact details, preview a representative document afterward.
A payment link is displayed for the customer to open; it does not automatically reconcile the invoice’s payment record. Review the actual payment and record it on the invoice.
Add extra fields
The current general field editor offers a select type but does not show a separate options editor. Use a text field for a simple open answer unless your account has already configured the required choices.
Deleting a saved field uses its own confirmation; it is separate from saving the whole list. Keep field keys stable after they are in use.
- Open Custom Fields and select Add field.
- Enter a stable Key, such as project_reference, and a customer-friendly Label, such as Project reference.
- Choose the Type: text, textarea, number, date, select or checkbox. Textarea allows a longer written answer.
- Choose Required if users must complete the field, and Enabled if it should appear. Set Order to control its position.
- Select Save All Fields and confirm the saved row.
- Open a new document and check the field’s appearance before asking the team to use it.
Help your team use the same setup
Regular agents inherit the account owner’s shared document settings and catalog. Enable agent quotes and make the intended templates available to those agents.
If a menu or save action is unavailable, check the account’s plan and role permissions. A missing control is not resolved by creating duplicate documents.
