Create a System Template

Write a useful email once, then personalize it with contact and sender details.

In the CRM: Email Campaigns → System Templates → Create New Template

Name the message and its purpose

  1. Enter a unique Template Key using lowercase letters, numbers and underscores, such as consultation_followup. This is the short identifier Mango9 uses for the template.
  2. Give it a clear Template Name your staff will recognize. Choose a category such as Follow-Up, Sales or Appointment / Scheduling.
  3. Write the Email Subject the customer will see. Add a Description explaining when staff should use the message.

Write a helpful, personal message

Start with why you are writing, give the customer useful information and finish with a clear next step. Keep the wording natural enough that a staff member can use it in a real conversation.

The variable buttons insert details at sending time. For example, {first_name} personalizes the greeting, {sender_name} identifies the sender and {appointment_date} adds the relevant appointment information. Use the displayed contact, sender, buyer, appointment and custom-field groups that fit the message.

Use the formatting controls and variable buttons to prepare a reusable message. This example was not saved or sent. Select the image to enlarge it.

Save and share it with the team

  1. Review the body and subject. Check that each variable has the relevant information available for the message you plan to send.
  2. Leave Active enabled when the template is ready to use. A client can turn on Share with Agents to make it available to their agents.
  3. Choose Create Template, or Save Changes when editing an existing template.
  4. Return to the library and use Preview. It fills contact fields with sample values so you can check the appearance; review actual recipient details before sending.

Use it alongside calls and SMS

After a Telnyx call or an AI-assisted enquiry, your team can use a template to send the promised information. A short SMS can handle the immediate next step, while an email provides the fuller explanation or booking details. This gives prospects a consistent experience across the channels they use.
